Notes

What we've learned running vendor evaluations, audits, and builds for GCC companies, written down so it's useful before you ever talk to us.

Article 2026-09-18
The pilot worked. That was the easy part
Pilots are run on the happy path by the people who wanted them to work. Production is run by everyone else, on the awkward cases, at month end.
Article 2026-09-18
Most of the AI you need, you are already paying for
Before adding an AI line item, exhaust the AI already bundled into the software on your invoice. It is cheaper, it improves without you, and it is the part vendors are least motivated to tell you about.
Article 2026-09-18
Build an AI agent, or buy an AI tool
The honest test is not whether you could build it. It is whether the process is specific enough to you, and runs often enough, to be worth owning forever.
Article 2026-09-18
Every line of custom code is a line you maintain forever
Configuration inside a product you already pay for stays supported when the vendor ships an update. Custom code does not. That difference compounds, and it is usually the whole decision.
Article 2026-09-18
Data migration is not a task in the project. It is the project
Migration is scoped as moving records across. The work is deciding what does not come across, and that decision is nobody's job until it is late.
Article 2026-09-18
Two systems, one customer, two different addresses
The connection is the easy part. What decides whether an integration still works in a year is which system owns each field, and that is a question nobody wants to own.
Article 2026-09-18
How to tell whether an AI project paid for itself
Almost every AI business case is built after the fact, from an estimate of what things used to take. The measurement that would have settled it costs an afternoon and cannot be done retroactively.
Article 2026-09-18
What to do when an implementation has stalled
Stalled projects rarely fail loudly. They go quiet, the meetings get shorter, and everyone waits for someone else to say it. Here is how to work out whether to finish it or stop.
Article 2026-08-21
How to buy enterprise software without regretting it in a year
Most bad software purchases aren't bad because of the software. They're bad because of how the decision got made.
Article 2026-08-20
You are paying for seats nobody sits in
The average organisation leaves about a third of SaaS licences unused. The waste is not mysterious. It is unowned.
Article 2026-08-19
Your renewal date is not when you have leverage
Auto-renewal windows of 30-90 days are how vendors buy your calendar. The work has to start months earlier, or you are confirming a price, not setting one.
Article 2026-08-18
Four questions that get a CRM shortlist down to three
Most shortlists are assembled from the names the buyer has heard of. Four constraints, applied in order, do the narrowing that a feature matrix cannot.
Article 2026-08-17
The licence is not the cost of the system
Year one, the price list is often the smaller invoice. Implementation, integration, and the people who have to run it are the rest, and that is where build vs buy is actually decided.
